Position Details 

Emergency Hire - Temporary position lasting at most 90 days with an option of being extended to 180 days.

Position Summary

The Administrative Support Coordinator II performs core functions of initiating, assessing, coordinating, leading, implementing, communicating, evaluating, and otherwise providing administrative support to the department in the College of Social Sciences and Interdisciplinary Studies. The position supports the department’s students and faculty, staff members across the university, and community stakeholders and exercises strong interpersonal skills that are sensitive, culturally appropriate, inclusive, effective, and confidential when necessary. The person in this position is responsible for developing, maintaining, and analyzing departmental fiscal records, preparing and inputting the annual schedule of classes, and assisting with hiring part-time and full-time faculty. Additionally, the person in this position is responsible for written and verbal communication with new and continuing students, guiding students though university processes; and assisting the Department Chair with Department related projects including student support. Incumbents are expected to use general office equipment and a full range of office support technology and systems including word processing and spreadsheet packages, online software platforms to enter data and generate reports, email, and voice mail. In addition to supporting the department, this position collaborates with the SSIS Dean’s Office when needed, including coordinating all facets of department projects, convenings, meetings, and events with university stakeholders and community partners. This person uses judgement and discretion to independently gather, analyze, interpret, problem-solve, and apply information and data, utilizing detailed knowledge of University and Department policies and procedures.

FLSA: Non-exempt

CSU Classification Salary Range: $ 3,865 - $ 6,336 per month 

Hiring Range/Rate: $22.30/hour

Salary Grade/Range:  2

Time Base: Hourly-Intermittent

Work Hours: 8-5

Minimum Qualifications 

Entry to this classification requires a fully functional knowledge of and skill in standard office procedures and practices, as well as an ability to understand and operate in a variety of organizational structures. Additionally, incumbents are expected to have a thorough knowledge of English grammar, spelling, and punctuation and be able to clearly communicate orally and in writing. This position may require a knowledge of business mathematics beyond basic arithmetic. The ability to use and quickly learn new office support technology systems and software packages is also a prerequisite. These entry qualifications would normally be obtained through a high school program, technical/vocational program, or their equivalents combined with several years of related office work experience.

4. Expertise with office software packages (e.g., Microsoft Office) and equipment and the Internet

5. Ability to prepare correspondence and utilize spreadsheets and databases.

6. Strong organizational and multi-tasking skills

7. Ability to work with frequent interruptions

8. Ability to provide lead work direction, training, and guidance to student assistants or other office staff as needed.

9. Ability to apply judgement, discretion, and initiative and make appropriate recommendations

10. Excellent written and verbal communication skills with the ability to convey information clearly and accurately.

11. Strong interpersonal skills

12. Demonstrated ability to work effectively, inclusively, and sensitively with people from diverse backgrounds

13. Experience with promoting diversity, equity, and inclusion

14. Demonstrated ability to assist with meetings and events coordination

15. Knowledge of budget, scholarship, and financial record tracking

16. Knowledge and understanding of protecting and securing sensitive and confidential data and other forms of information

Preferred Qualifications:

18. Ability of maintain department website and use social media to professionally represent the workplace

19. Experience working in higher education

20. Comprehensive and detailed knowledge of the university infrastructure, policies, and procedures.

21. Ability to understand problems from a broader perspective and anticipate the impact of office administration problems and solutions on other areas.

22. Knowledge of budget policies and procedures, scholarships, and financial record tracking

23. Proficiency with Common Management System (CMS), Human Resources / Student Administration (HR/SA); Astra, Cognos, Cascade, Concur, Saclink email; Financial Data Warehouse; Blackbaud; On Base, One Drive, Course Leaf, EAB and related software platforms/procedures

24. Experience with preparation of the course schedule, including scheduling classes with varied modalities, and reserving rooms

25. Ability to perform business math, analyze budgetary data, and make accurate projections requiring some inference
