(Job #548423) Evaluator I, Admissions Evaluator, Salary Range: $4,262 - $5,998 monthly. Hiring Range: $4,262 - $4,475 monthly. This is a full-time, benefited, non-exempt, 12-month pay plan permanent position with a one-year probationary period in Department of Admissions. Position Summary:

Under the general direction of the Director of Admissions and with guidance from the Associate Director of Evaluation and Articulation, the Admissions Evaluator is responsible for processing and evaluating admissions applications. The primary focus will be on undergraduate application review, with a shift in priority to graduate application evaluations during peak periods, ensuring timely and accurate processing in collaboration with academic departments and their deadlines. The position includes cross-training in other admissions categories, such as transfers, first-time freshmen, credential, graduate, etc.

 

Key Responsibilities:

Undergraduate Admissions (First-Time Freshmen) – 30%

  • Evaluate and process FTF applications based on established admission policies and criteria.
  • Verify academic records, transcripts, and test scores for eligibility determination.
  • Review applicant materials including self-reported information and submitted correspondence, checklists, and materials.
  • Review accuracy of application data, verify accuracy and soundness of student self-reported information, apply CSU policies to determine if applicants are eligible for admission.
  • Verify subject requirements, GPA, and test scores.
  • Evaluate academic records to verify receipt of all transcripts, test scores, and other transferable coursework.
  • Utilize the university’s admissions systems to track application status and communicate with applicants.
  • Assist in resolving discrepancies in application materials and data integrity issues.
  • Maintain compliance with CSU and institutional policies regarding freshman admissions.

 

General Admissions – 20%

  • Shift priority to processing and evaluating graduate applications during peak admissions periods.
  • Work collaboratively with academic departments to ensure timely application reviews.
  • Verify and assess academic credentials, transcripts, and required application materials for graduate program eligibility.
  • Assist in coordinating the review process between admissions and graduate program faculty.

Transcript Review – 20%

  • Perform thorough analysis and assessment of academic transcripts to evaluate admissions eligibility to Cal Poly Humboldt, including compliance with CSU and Title 5 agreements, requirements, and policies.
  • Calculate grade point averages (GPAs) and eligible course requirements, utilizing resources to validate information as needed.
  • Verify and/or update student application information, admission decisions, etc., as needed to fully process admission decisions, request additional documents, and maintain accurate records in appropriate systems, including the student information system (PeopleSoft), document imaging (Content), and CRM (Slate).

Daily Duties – Student Services – 25%

  • Ready and able to assist students, staff, and student assistants with necessary navigation of admissions eligibility, and related requirements.
  • Assist prospective students and their families with inquiries and requests, shared via telephone, email, and in-person, explaining admission decisions, policies & procedures.
  • The objective in all interactions is to provide accurate, timely information regarding policies and procedures and to suggest actions that will resolve issues.
  • The incumbent must, at all times, uphold and abide by the Federal Educational Rights and Privacy Act (FERPA) and implement, communicate, and enforce federal, state, CSU system, and university policies and regulations.

Other Duties as Assigned – 5%

 

Knowledge, Skills, and Abilities Associated with this Position Include:

  • Knowledge of the format and interpretation of course records and transcripts of institutions of higher education
  • Knowledge of authenticating course credits and comparing records of differing formats, such as foreign records
  • Knowledge of campus curriculum requirements for majors, minors, terminal degrees, and special program designations, and knowledge of application of campus resource guidelines for making determinations using various criteria.
  • Ability to be thorough, consistent and accurate in the interpretation of records against criteria
  • Ability to comprehend and interpret complex regulations or requirements and to apply them in the evaluation process
  • Ability to maintain resources which document and update criteria
  • Ability to explain criteria and evaluations to others
  • Ability to make accurate records; ability to organize work to meet deadlines
  • Ability to safeguard the confidentiality and security of records.
  • Ability to communicate effectively with a diverse population.
  • Ability to establish and maintain working relationships with staff,
  • students, and faculty from diverse backgrounds.

 

Minimum Qualifications:

  1. Equivalent to completion of a formal training program in academic records evaluation OR one year of academic records evaluation experience OR any 12-month combination of training and experience related to academic records evaluation.

 

Preferred Qualifications:

  1. General knowledge of graduate admissions processes and academic program requirements.
  2. Bilingual proficiency (Spanish preferred).
