Major Duties

Under general supervision, the Department Analyst performs financial reconciliation, handles personnel records, facilitates recruitment processes, coordinates departmental events, and provides administrative support. This role ensures operational efficiency, fiscal accountability, and compliance with policies while assisting faculty and students through essential administrative processes.

  • Tracks and manages the department's all state and auxiliary funds.
  • Prepares monthly reconciliation reports for the Department Chair and Dean’s Office.
  • Coordinate the recruitment and hiring processes for tenure-track faculty.
  • Maintains personnel files and records, including lecturer Personnel Action Forms (PAFs).
  • Coordinates and supports the Department Chair and faculty for all department events.
  • Performs other duties as assigned.

Qualifications

  • Equivalent to graduation from an accredited four-year college or university in a job-related field.
  • Equivalent to two (2) years of full-time, technical, analytical, or administrative experience.
  • Additional experience in job-related field may be substituted for required education, on a year for year basis.
  • CMS systems and PeopleSoft Oracle experience preferred.

 

Knowledge, Skills, & Abilities

  • Advanced knowledge of financial management practices, including fund reconciliation, budget tracking, procurement processing, and expenditure monitoring to maintain departmental fiscal efficiency. Preferred knowledge of fiscal analysis techniques.
  • Ability to interpret, communicate, and apply organizational policies and procedures effectively, serving as an informative liaison between department members, external entities, and campus offices.
  • Proven skills in administrative coordination and workflow management, adept at overseeing support personnel, maintaining facility operations, and generating comprehensive reports for accreditation and departmental initiatives.
  • Proficient knowledge of recruitment, payroll, and personnel management processes, including coordinating faculty hiring, managing payroll actions, and maintaining comprehensive personnel records and documentation.
  • Strong organizational and communication skills to effectively liaise among department chairs, search committees, faculty, candidates, and external visitors, facilitating clear and efficient administrative processes from onboarding through contract management.

 

Pay, Benefits, & Work Schedule

  • The university offers an excellent benefits package, including but not limited to: medical, dental, vision, retirement & savings, tuition waiver and more.
  • Classification: Admin Analyst/Specialist / 1038 / grade 1
  • The anticipated HIRING RANGE: $3879 - $5150 per month, dependent upon qualifications and experience. The salary range for this classification is: $3879 - $7488 per month.
  • HOURS: Full Time; 40 hours per week; Monday through Friday.  
  • This is a Regular position with a one-year probationary period. 
  • The position is currently hybrid (4 days in office, 1 day remote); however, this is subject to change based on student and/or operational needs.
