Job Summary

The Assistant Director, Special Events is responsible for planning, organizing, and executing special events that support the athletic department's goals. This role enhances the experience of student-athletes, alumni, donors, and fans. Key responsibilities include strategic planning, project management, and coordination to ensure the success of events that elevate the Beach Athletic programs.

Key Responsibilities

  • Plan, coordinate, and implement all activities for various revenue-generating events, meetings, and hospitality.
  • Work in close collaboration with partners throughout the university to deliver high-quality experiences that grow affinity, align with the LBSU brand, and expand support and engagement opportunities.
  • Collaborate with marketing and communication teams to promote events through social media, email campaigns, and other channels. Ensure brand and messaging alignment with the athletic department’s mission.
  • Develop a strategic annual events budget in collaboration with the Senior Associate AD, Financial Operations. Supervise budgetary planning for each event, ensuring compliance with LBSU purchasing and financial policies.
  • Serve as department expert and consultant on special event management and protocol. Provide guidance and counsel to teams and support units.

Knowledge Skills and Abilities

Ability to manage multiple events simultaneously, ensuring all details are accounted for. Expertise in coordinating event logistics such as venues, catering, audio/visual setup, transportation, and security. Strong ability to communicate clearly with internal and external stakeholders, including vendors, donors, volunteers, and staff. Capable of cultivating relationships with donors, alumni, boosters, and corporate sponsors. Ability to delegate tasks effectively, keep teams motivated, and maintain high standards during events.

Strong problem-solving skills to handle on-the-spot issues or emergencies during events. Knowledge of developing and implementing strategies to increase donor participation and engagement. Strong attention to detail to ensure smooth execution of events with a high standard of quality. Ability to work with a diverse group of coaches, staff and students. Ability to gain knowledge regarding NCAA rules and regulations.   Experience with Advance and Paciolan or similar software for ticketing and fundraising preferred.

Ability to communicate with an ethnically and culturally diverse campus community.  Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.  Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a "vision of excellence."

Education and Experience

  • Equivalent to a bachelor's degree in a related field and three years of related experience required.
  • Prior experience working in an NCAA Division I environment preferred.

Physical Summary

Medium work - Job involves lifting heavy-weight objects (20-40 pounds) and/or 20% - 40% of the job involves standing, squatting, kneeling, or walking. May require pushing or pulling objects within the weight limits.

Compensation

Hiring Range: The hiring range for this position is $4,598 - $5,417 per month commensurate with candidate's education, experience, skills, and training.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $4,598- $8,318 per month.

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

Time Base

Full-time temporary position for one year with no permanent status granted. Temporary assignments may expire prior to the ending date.
