Position Summary

Reporting to the Director of the Office of Student Conduct (OSC), the Conduct Coordinator assist in coordinating the administration of the student conduct process for SF State. The incumbent is responsible for assisting in adjudication and administration of campus wide conduct cases, administrative updates for OSC, campus wide education, and assisting with Formal Hearing Officer training and formal hearings; and provides guidance for Formal Hearing Officers in case preparation and administration.

The nature of the work performed by the Conduct Coordinator is highly confidential and sensitive and requires interpretation of CSU, SF State policies and procedures. The incumbent assists in maintaining the student conduct database and performs administrative tasks including producing reports.

Position Information

Conduct Process Implementation, Case Adjudication, and Management

  • Serves as a Hearing Coordinator for alleged violations of the California State University (CSU) student code of conduct and the Residential Living Agreement.
  • Adjudicates individual alleged violations of conduct cases in accordance with CSU, SF State, and Residential Life policies.
  • Serve in a case manager role for the OSC.
  • Utilizes an educational philosophy when adjudicating conduct cases.
  • Independently manages assigned cases from inception through recommended completion to the Director of Student Conduct, ensuring compliance with timelines, campus consistency, due process, and policies.
  • Drafts, reviews, and sends relevant correspondence for assigned cases; as well as does case preparation for formal student conduct hearings.
  • Maintains accurate and up to date records of cases and proceedings in Maxient (Student Conduct Database).
  • Ensures student conduct and organizational conduct records are properly maintained and organized.
  • Assist in oversight for the formal hearing process.
  • Manage background and records checks; maintains the department email to ensure customer service.

Maintenance of the Student Conduct Database (Maxient)

  • Ensure timely entry of case pertinent information in the student conduct database.
  • Maintains accurate and up to date records of cases and proceedings in Maxient.
  • Ensures student conduct and organizational conduct records are properly maintained and organized.

Training and Education: Conflict Resolution, Mediation, and Restorative Justice

  • Creates and develops trainings, workshops, and sanctions to support the prevention and outreach efforts.
  • Prepares or assists in the preparation of reports, assessment, and other necessary tasks.
  • Makes appropriate referrals to campus and community resources.
  • Develops and assists with conflict resolution, mediation, and the de-escalation of disputes.
  • Develops and maintains positive working relationships with faculty, staff, and administration at the university to better serve students.
  • Assists with educating students, faculty, staff, and community members about CSU and SF State policies and procedures.

Assessment

  • Work collaboratively with appropriate staff to coordinate various assessment and research related initiatives.
  • Actively utilize assessment data to identify improvement opportunities, suggest strategies to enhance the student experience, inform departmental goals and guide ongoing program development appropriately.

Supervision

  • Assist with interpretation and implementation of Campus Conduct; Residential Life; Housing, Dining, & Conference Services; and University policies and procedures.
  • Assist with recruitment, selection, and personnel administration for Formal Student Conduct Hearing Officers.

Other Duties as Assigned

Minimum Qualifications

Knowledge and Abilities: The following knowledge and abilities, as well as those listed at the lower levels in the Student Services Professional series are required for appointment into this classification. Thorough knowledge of the principles of individual and group behavior. General knowledge of the principles, practices and trends of the Student Services field as well as general knowledge of the policies, procedures and practices of the program area to which assigned; general knowledge of individual counseling techniques; general knowledge, or the ability to rapidly acquire such knowledge, of the organizational procedures and activities of the specific campus to which the position is assigned. Working knowledge of student services programs outside the program to which immediately assigned.

Ability to analyze complex situations accurately and adopt effective courses of action or seek guidance; advise students individually and in groups on complex student-related matters; determine appropriate courses of action and proper techniques to utilize while engaged with individuals in personal interactions of an argumentative or sensitive nature; interpret and evaluate descriptions and explanations of problems brought forward by individuals or student organizations, analyze and define the problem, draw valid conclusions and project consequences of various alternative courses of action; carry out a variety of professionally complex assignments without detailed instructions; and establish and maintain cooperative working relationships with a variety of individuals.

Experience: Possession of required knowledge and abilities is typically demonstrated through the equivalent of three years of progressively responsible professional student services work experience. One year in the program area to which assigned may be preferred but is not required.

A master’s degree in Counseling, Clinical Psychology, Social Work, or a directly related field may be substituted for one year of experience. A doctorate degree and the appropriate internship or clinical training in counseling or guidance may be substituted for the three years of experience for positions with a major responsibility for professional career or personal counseling.

Education: Equivalent to graduation from a four-year college or university in a related field, including or supplemented by upper division or graduate course work in counseling techniques, interviewing, and conflict resolution where such are job-related.

Preferred Qualifications

Due to the responsibilities and nature of this position, preferred qualifications that will lead to success in this role include:

  • Master’s degree in Student Affairs, Counseling, Higher Education or related field.
  • At least 3 years of post-master’s degree experience in Residential Life, Student Conduct, or related student services position
  • Professional affiliation with professional organizations such as Association for Student Conduct Administration (ASCA), ACPA-College Student Educators International, National Association of Student Personnel Administrators (NASPA), Association of Student Conduct Administrators (ASCA), etc.
  • Demonstrated knowledge of the Student Affairs profession, student development theories, and “best practice” in student conduct.
  • Demonstrated knowledge of application of educational approach to student conduct in a university and college housing setting.
  • Demonstrated ability in advising students on complex student-related matters, particularly regarding issues where conflict or sensitive referrals are involved.
  • Ability to balance the developmental and educational needs of students with the obligation of the institution to protect the safety and welfare of the campus community.
  • Demonstrated ability to research, understand, interpret and apply technical procedures or regulations as well as federal, state, CSU, SF State and Residential Life policies and procedures.
  • Bias toward collaboration and teamwork, but ability to work independently with highly confidential information.
  • Effective communication skills across a variety of venues.
  • Customer/Client Focus with an emphasis in problem solving and resolution.

Environmental/Physical/Special

The incumbent works a 40-hour work week and may have varied shifts and times, including some evenings, weekends, and non-traditional hours.

Must be able to competently interact with a culturally and ethnically diverse population of students, faculty, and staff.
