Job Summary

Under the leadership of the Assistant Vice President, Administrative Services, the position serves as a resource for all university and non-university sponsored special events.

The incumbent participates in the Event Services Office daily operations, which supports all campus events. Assist with event management for Event Services venues, including but not limited to university classrooms and outside space. Assist in the implementation and documentation of policies/procedures related to events that will help university constituents in scheduling, booking, delivering, billing, and calendaring for university events.

Key Responsibilities

  • Multi Venue/Outdoor Space/Other Event Services Venues Scheduling Events - Facilitates the use of campus facilities including scheduling, floor plan arrangements, meeting rooms, audio/visual, fees/contracts, support provider requirements etc. for on and off campus clientele. Coordinate with campus support providers for use of facilities including Risk, Parking, Student Life and Development, Facilities Management, Academic Scheduling, Public Relations etc.
  • Event Services - Collaborate with other University offices to assure smooth event operations. Documents policies and procedures for Event Services. Advises Events Services' users of proper procedural guidelines pertaining to use of university facilities, e.g. Youth Activities
  • Events System Administration - Works directly with campus constituents to ensure master calendar is accurate and complete; creates processes to support calendar population. Assists users with learning the Event System and provides training materials.

Interacts with students, staff, and clientele with the greatest degree of professionalism: and personal integrity. Excellent communication skills and the ability to form and maintain positive relationships, support a culture of mutual respect, and effectively collaborate with all levels of the organization. Ability to work effectively with a diverse population and value the principles of consultative shared governance.

Ability to communicate with an ethnically and culturally diverse campus community.  Ability to follow all university policies, procedures, and guidelines including but not limited to safety, civility, information security, and non-discrimination policies and procedures.  Ability to contribute to a positive university experience for each and every student and assist in achieving the university's commitment to a "vision of excellence."

Education and Experience

• Equivalent to three years of administrative support experience required.

• Bachelor's degree preferred.

Physical Summary

  • Light work - Job involves some lifting of medium weight objects (10-20 pounds) and/or 10% - 20% of the job involves standing or walking.

Compensation

Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department’s fiscal resources.

CSU Classification Salary Range: The CSU Classification Salary Range for this position is $3,680 - $5,417 per month.

Time Base

1.0 time-base, 40 hours per week.

Duration of Appointment

This is a temporary position for 2 years with no permanent status granted. Temporary assignments may expire prior to the ending date.
