RESPONSIBILITIES & DUTIES: 

Independently reviews and analyzes a high volume of academic records/transcripts and makes decisions regarding admissions for graduate applicants based on University policies, Title V Education Code, California Administrative Code, the California State University Office of the Chancellor, and the University. Independently plans work and carries out day-to-day assignments without immediate direction. Duties include but are not limited to gathers and analyzes complex data, draws logical, and valid conclusions about an applicant’s preparedness to enter the University, evaluates graduate applicants using appropriate criteria. Knowledge and experience of records, transcripts, test scores, and other official documents required to determine admissibility. Evaluates credits from multiple institutions and calculate CSU grade point averages. Applies knowledge of campus curriculum requirements for graduate and credential programs. Utilizes PeopleSoft Database system for data entry and generating queries necessary for admission processing. Participates in admission appeals committee as needed. Responds to a high volume of inquiries (via email, phone, in person, etc.) explaining admissions decisions, policies, and procedures. Maintains working knowledge of campus curriculum requirements for majors and terminal degrees, and special program designations. Collaborates with on and off campus partners including but not limited to academic programs, Extended University, and various student services departments. Identifies, researches, and resolves discrepancies and other issues related to the reporting of admissions-related data as required by the CSU and campus. Prepares progress reports to inform supervisor of project status and deviation from production goals. Participates in meetings to discuss ways to streamline and simplify the admissions process. Works with other software systems including but not limited to (Cal State Apply, Customer Relation Management (CRM) Tool (e.g. Hobsons and SLATE), and Web Admit. Serves as a resource for prospective students, applicants, college counselors, faculty, staff, administrators, and general public. Represents the CSU and CSUCI at programs and events for prospective students, parents, counselors, educators, and community members. Assists with the planning and implementation of other related programs and events as well as the development and editing of admissions and recruitment materials. Performs additional related duties as assigned.

REQUIREMENTS OF POSITION: 

Education: Equivalent to graduation from an accredited four-year college or university in a related field and equivalent of two years of professional experience in one of the student services program areas or in a related field. A master’s degree in a job‑related field may be substituted for one year of the professional experience. Excellent verbal and written communication skills.

Experience: Ability to acquire knowledge quickly of CSU guidelines and regulations for accepting applications and processing admissions decisions is required. Must be computer literate and possess a working knowledge of database, publishing, and communications programs such as Microsoft Office, Zoom. Ability to acquire PeopleSoft knowledge required for entering and retrieving complex data and reports regarding admissions applications, transcripts, and related records. Must be able to develop and maintain cooperative working relationships with students, faculty, administrators, and staff. 

Other Knowledge/Skills: Ability to rapidly acquire a general knowledge of the overall operation, functions and programs of CI. Ability to work on projects both individually and as a member of a group. Ability to gather and analyze data to make informed decisions or appropriate recommendations.

In addition, ability to work flexible hours that includes evenings, some weekends, and some travel. Ability to present clear and concise information both orally and in written form. Ability to work cooperatively with multicultural and diverse populations.

A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current CSU employees who apply for the position.

The person holding this position is considered a ‘Campus Security Authority (CSA)’ to report crimes for the federally mandated Clery Act and is required to comply with the requirements set forth in CSU Executive Order 1107 revised March 24, 2017 as a condition of employment.

The person holding this position is considered a ‘mandated reporter’ under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.

Hiring Salary:  $5,083 per month
