Salary

The anticipated salary hiring range is up to $11,417 per month, commensurate with qualifications and experience.

The salary range for this classification is $5,053 to $16,221 per month.

Position Information

The California State University, Office of the Chancellor, is seeking an Assistant Director for ASA Strategic Initiatives to support the management of divisional and systemwide strategic initiatives, projects, and programs for the Division of Academic and Student Affairs. Encompassing a portfolio that will evolve to reflect new initiatives and priorities, the incumbent will work in consultation with the Chief of Staff and in partnership with the Academic and Student Affairs (ASA) Leadership Team, to manage large and medium-scale projects and events, inclusive but not limited to the GI2025 Symposium, Year of Engagement, Juneteenth, and community outreach efforts. In concert with the CSU Board of Trustees Office, the incumbent will oversee and manage the preparation and planning for ASA assigned standing committees of the CSU Board of Trustees. Prioritizing belonging and inclusivity, the assistant director will help support the development, implementation, and management of comprehensive change management strategies, and direct the continuous improvement of internal organizational programs, such as onboarding, staff surveys, and high-impact employee engagement activities.

This position is approved for telecommuting (two days telecommuting, three days in office (in-person)) with onsite work at the main headquarters located in Long Beach, California.

Responsibilities

Under the general direction of the Deputy Vice Chancellor and Chief Student Affairs Officer, ASA, the Assistant Director for ASA Strategic Initiatives will perform duties as outlined below:

Special Initiatives and Leadership:

-Plans, implements and directs high-priority divisional and systemwide strategic initiatives, projects and programs assigned by the Deputy Vice Chancellor (DVC) and/or designee.

-In concert with the Chief of Staff (CoS) and ASA Leadership Team, plan, coordinate, and track projects/tasks, ensuring timely completion. Contribute to the successful delivery of team goals by engaging with appropriate key stakeholders to ensure DVCs’ strategic vision and objectives are understood and met.

-Maintain basic knowledge and understanding of the status of all programs and projects within the Division of ASA.

-Lead cross-functional planning teams to develop and implement innovative strategies that foster collaboration and optimize coordination, effectiveness, and efficiency in planning processes.

-Compile and synthesize information from content experts and project managers to create a cohesive project plan, roadmaps, or strategic recommendation that informs decision-making.

-Manage the Bill Analysis and Public Records Act requests on behalf of the Division. Act as liaison with Advocacy and State Relations and Office of General Counsel as needed, collaborating with internal Division staff to gather and disclose responsive records, and ensuring timely follow-up.

-Develop and draft internal, external, and web-based communications and reports on behalf of the DVCs, providing project status updates, initiative progress, and overall assessments.

-Provide project management expertise to track multiple projects simultaneously, oversee the use of project management and productivity programs/tools to track projects and train users.

-Provide strategic support to the DVCs in preparing for meetings and presentations as it relates to assigned projects.

Organization Effectiveness:

-Direct the development and continuous improvement of organizational effectiveness and programs in the Division of ASA

-Lead organizational engagement initiatives, leveraging data-driven insights from metrics such as employee surveys, program evaluations/assessments to inform strategies and decision-making for meaningful improvement.

-Oversee the divisional employee satisfaction survey administrations, ensuring results are correctly analyzed and distributed. Manage the communication plan for the Division and functional areas to encourage 100% participation.

-Design, executive, and continuously assess Division-wide programs that promote employee engagement, collaboration, and a culture of care, ultimately driving student success and boosting employee morale, including but not limited to professional development, recognition, and internal community events.

-In collaboration with the Chief of Staff and Director of Operations, ASA, develop and launch programs and projects that support organizational development, including leading onboarding programs, mentorship and coaching programs, and training.

-Foster open communication and collaboration across departments, ensuring staff are informed and engaged throughout organizational improvement initiatives and programs.

Board of Trustees Standing Committees:

-Oversee and manage meeting preparation and planning for ASA assigned standing committees of the CSU Board of Trustees (BoT).

-Serve as the primary liaison with the BoT Office, overseeing the preparation, logistics, and submission of materials in support of quarterly board meetings, ensuring seamless coordination and effective communication.

-Work in collaboration with the CoS to coordinate communication strategy for agenda items.

-Plan and facilitate BoT pre-meetings to ensure accurate preparation and timely submission of required materials (i.e. printed documents, presentation items, minutes, reports, and presenters/guest lists).

-Provide comprehensive support to the DVCs, CoS, and ASA Leadership Team on BoT meeting related duties and initiatives. Facilitate strategy development of board items, ensuring alignment with Division goals.

-Ensure quality and version control of BoT documents and presentations and coordinate accurate final version submission.

-Coordinate audio/visual needs with Information Technology Services staff.

-Communicate with and coordinate preparation of external board presentation speakers and guests.

Divisional and System-wide Event Management:

-Lead the execution and evaluation of large and medium-scale divisional and systemwide events.

-In partnership with the designated ASA Leader and with support from event coordinators, strategically plan and manage all aspects of the event, including venue selection, catering, audiovisual equipment, and logistics. Coordinate and attend pre-event in-person walkthroughs and testing.

-Develop and maintain effective event schedules and timelines to ensure seamless execution and timely completion of all event related tasks.

-Support and facilitate contract negotiations with venue and suppliers. 

-In collaboration with the Director of Operations, develop and manage event budgets, ensuring cost-effectiveness and adherence to CSU policies and procedures.

-Serve as primary liaison to vendors and supplies to ensure timely delivery of services and adherence to contractual obligations.

-Identify and mitigate bottlenecks that could impact event milestones, collaborate with ASA Leader to ensure all tasks are completed on time and to a high standard, including review of appropriate reports and presentations.

-Serve as the primary on-site event point-person, coordinating efforts and seamless facilitation of agenda items and activities. 

-Evaluate event success, gathering feedback from attendees, speakers, and stakeholders to inform future event planning.

Other Duties as Assigned:

-Perform other duties as assigned by the DVCs and/or designee in support of Division mission and goals.

-Participate and/or actively contribute in Chancellor’s Office and/or University committees, events, and meetings, providing strategic input and recommendations that advance the Division’s goals and objectives.

Qualifications

This position requires:

-Understanding of academic and student affairs principles and student support services in higher education, highly preferred.

-Demonstrated knowledge of universities that are part of a large, diverse, and complex system.

-Strong experience in project management with ability to track progress and coordinate highly detailed projects in a well-organized, efficient, and timely manner.

-Experience working in a professional environment and be able to communicate effectively and in a professional matter, both verbally and in writing.

-Demonstrated track record of performing excellency under pressure and adhering to strict deadlines while maintaining a sophisticated understanding of organizational and external contexts.

-Experience in collaborating effectively and efficiently with senior level administrators and executives. Ability to maintain efficient working relationships.

-Ability to interpret and implement procedures, policies and regulations.

-Experience in drafting various reports (i.e. year-end project progress, project proposals, etc.)

-Understanding of issues of diversity, inclusion, and belonging as it relates to college or university communities as well as organizational effectiveness.

-Ability to work on multiple assignments and tasks and be able to adjust to change quickly and effectively.

-Intellectual agility and ability to function independently and make independent judgments with minimal supervision, be able to prioritize, recognize conflicts, and the ability to seek or recommend resolutions.

-Possess strong analytic and assessment skills to review and evaluate initiatives and program outcomes.

-Excellent organizational skills in a multi-tasking environment, excellent attention to detail and accuracy.

-Proactive and able to work in a team environment while understanding and guiding the roles and responsibility of fellow team members. Must be able to effectively interface with fellow employees, management at all levels and vendor representatives.

-Flexibility and the ability to pivot and navigate a complex and dynamic work environment with rapidly changing priorities. Ability to adapt to new information and make informed decisions when responding to evolving circumstances while maintaining a focus on goals and objectives.

-Strong experience using Microsoft Office products with proficiency in the use of Excel, Word, and PowerPoint.

-Strong working knowledge of Adobe Acrobat, specifically in the use of the forms feature in Acrobat is preferred. Must be familiar with utilizing web based and computer based technological tools in everyday work.
