Major Duties

Under general supervision, the Department Coordinator proactively manages a variety of critical administrative functions. This role supports budget tracking, reconciling departmental expenditures, and ensuring financial accountability. Additionally, the coordinator oversees the departmental website, maintains the accuracy and currency of online content, and facilitates effective communication within and outside the department. They actively assist with faculty recruitment by managing related administrative tasks and scheduling processes. Managing student evaluations and processing faculty personnel documents are also crucial functions, contributing directly to departmental efficiency and academic effectiveness. Furthermore, the Department Coordinator helps prepare the semester schedules of classes, ensuring accuracy and timeliness, and coordinates student assistant payroll and employment.

  • Provides budgetary support to the Department Chair and Designated Financial Officer (DFO); tracking department expenditures and reconciling department funds.
  • Helps prepare the schedule of classes each semester.
  • Manages the Department websites.
  • Assists with faculty recruitment.
  • Processes faculty personnel documents.
  • Performs other duties as assigned.

Qualifications

  • Equivalent to five (5) years of full-time, progressively responsible administrative or technical office management experience in an administrative capacity, exercising independent judgment and leading the work of others.
  • Equivalent to full-time college or university education/vocational school training in business or job-related field may be substituted for up to two (2) years of the required experience.

 

Knowledge, Skills, & Abilities

  • Proficient in Excel, Word, PowerPoint, Outlook, Adobe Acrobat, and web browsers.
  • Experience with SOLAR, PeopleSoft, CMS, and CHRS.
  • Knowledge of webpage management software (e.g., Web-One).
  • Strong organizational and multitasking capabilities.
  • Ability to proactively identify and address administrative issues.
  • Effective communication and interpersonal skills to engage faculty, staff, and students professionally

 

Pay, Benefits, & Work Schedule

  • The university offers an excellent benefits package, including but not limited to: medical, dental, vision, retirement & savings, tuition waiver, and more.
  • Classification: Administrative Support Coordinator / 1035 / 2
  • The anticipated HIRING RANGE: $4058 - $4320 per month, dependent upon qualifications and experience. The salary range for this classification is: $4058 - $6653 per month.
  • HOURS: Full Time; 40 hours per week; Monday through Friday.
