Salary Range: $4,058 - $6,653/Monthly (Budgeted salary range $4,058 - $4,483/Monthly)

Work Schedule: Full-Time, Monday - Friday, 8:00 a.m. to 5:00 p.m.; non-exempt classification.

Essential Functions: Under the general supervision of the Associate Vice President, the incumbent is responsible for the daily operation of the reception area and the vast array of functions in support of all units of the Human Resources Management department. The incumbent manages and oversees employee onboarding, as well as organizes and provides orderly series of documents, information, and operations for employees being hired, separated, or making personal changes. Transactions may include, but not limited to: name, address, or tax withholding changes; reviews and ensures documents are completed thoroughly and accurately and follows up with employees and/or with departments to obtain additional information or to correct discrepancies; disseminates completed documents, forms, and related information; inputs data and processes transactions in HRM's PeopleSoft database; receives and distributes department mail; answers and assists with calls to the HRM general office phone line; provides telephone backup coverage for all areas of HRM in the absence of area staff; reviews forms, gathers data, and modifies existing forms for internal and campuswide use; creates electronic personnel files; verifies appropriateness of documents for filing, organizing, and files documents; ensures the completion of Form 1-9, including the 1-9 Tracker System; answers routine questions; assists in completion of documents to enroll or·change status of employees' enrollment in health and dental insurance plans, tax sheltered and tax deferred annuities, etc. The position requires the ability to act with independence, timeliness, strict confidentiality and work under pressure. The incumbent must have the skills necessary to process and communicate sensitive information and the ability to develop good working relationships with staff, faculty and administrators of all levels within the campus community. Creates and maintains office files, logs, databases, calendars, employment data and assists with the preparation of documents related to the Compensation/Classification, Benefits, Workforce Planning, Employee Relations, Workers Compensation, and Payroll policies and procedures. Processes routine and assigned tasks in a timely manner, applying campus policies and/or collective bargaining agreements as needed. Maintains confidential files and highly sensitive materials, and assists in support activities, to complete required projects or meet deadlines.

Required Qualifications & Experience: Equivalent to four years of progressively responsible general office clerical or technical office management experience including experience processing transactions of a sensitive or confidential nature. Incumbent must exercise diplomacy, discretion and tact in dealing with sensitive, complex and highly confidential issues and situations. Excellent written and oral communication, organization and customer service skills. Must have experience researching and analyzing a variety of information and data, and the ability to make recommendations based on such data. Must possess strong attention to detail with the ability to take initiative and maintain ownership of projects. Ability to learn, independently interpret and apply a variety of complex University policies and procedures, as well as federal and state regulations. Must have experience in the use of Microsoft Office applications at a high proficiency level. Must be able to use standard office equipment and have the ability to write and produce reports, create PowerPoint presentations, prepare spreadsheets and evaluate data from a database. Must be able to plan, organize, and be sensitive and perceptive to the workload and work efficiently and effectively in a tin1e sensitive environment. Must be able to work with differing organizational structures, leadership, and work styles, ensuring consistent application of policy and practice. Must be able to provide courteous customer service and effectively work with the customers of diverse backgrounds. The incumbent must have a demonstrated interest and/or ability in working in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Desired Qualifications: Bachelor's degree in a related field and experience in a higher education, unionized institution and working knowledge of PeopleSoft, and work coordination and/or lead responsibilities with notable accountability for the work results of other support staff is preferred.
