Salary
The anticipated salary hiring range is up to $85,008 per year, commensurate with qualifications and experience.

Position Information
The California State University, Office of the Chancellor, is seeking a Title IX Hearing and Administrative Coordinator to be responsible for coordinating and assisting with the hearing processes related to Title IX complaints of sexual misconduct and sexual harassment conducted systemwide on the 23 CSU campuses. The Title IX Hearing and Administrative Coordinator assists in ensuring and promoting a fair, impartial, and respectful environment for all parties involved in the hearing process. The incumbent will work closely with the Systemwide Senior Director, campus Title IX Coordinators, parties, Hearing Officers, and hearing advisors on hearing-related activities including scheduling, logistics, and coordination of participants. Ensures the provision of accommodation (e.g., disability, language) and liaises with key stakeholders to ensure availability and participation. This position is also responsible to provide general administrative support to the Civil Rights office. This includes providing general office support, coordination of events, collection and organization of data, assistance with the preparation of reports and presentations, and payment of invoices from outside counsel and other external vendors.
This position is approved for telecommuting (two days telecommuting, three days in office (in-person)) with onsite work at the main headquarters located in Long Beach, California.
Responsibilities
Under the general direction of the Systemwide Senior Director, Investigations and Resolutions & Whistleblower, the Title IX Hearing and Administrative Coordinator will:
-Responsible for coordinating all hearing-related activities including scheduling, logistics, and coordination of Title IX hearings and hearing participants.
-Researches and responds to requests for hearing information for campus administrators and Hearing Officers and hearing advisors. Assists the Systemwide Senior Director and Civil Rights attorney partners with training workshops materials and provides guidance to Hearing Officers, Hearing Advisors, and other stakeholders.
-Collaborates with Title IX Coordinators to ensure a seamless transition from investigation to hearing.
-Assists in recruiting efforts for additional Hearing Officers and Hearing Advisors, maintains updated list of Hearing Officers and Hearing Advisors, and ensures the attendance of Hearing Advisors at hearings as appropriate.
-Coordinates, schedules, and participates in Hearing Officer and Hearing Advisors trainings as needed.
-Maintains payment of Hearing Officer invoices and Hearing Advisor stipends, prepares hearing-related budgets and costs projections.
-Assists with negotiating Hearing Officer billing rates and oversees payment of Hearing Officer invoices and Hearing Advisor stipends.
-Ensures timely and efficient processing of outside counsel and external vendor invoices.
-Maintains accurate and organized records of all hearing-related documents and communications and prepares hearing-related budgets and projections.
-Assist in preparing reports on hearing outcomes, cost of hearings, and statistical data for compliance purposes and institutional assessment.
-Evaluates and refines hearing processes and practices to enhance effectiveness and participant experience including creating post-hearing surveys and evaluative tools for Hearing Officers and Hearing Advisors, analyzing their results, and prepares and presents related reports.
-Prepares and process a variety of correspondence and documents.
-Researches, compiles, designs, and drafts information for preparation of reports, forms, PowerPoint presentations, Excel spreadsheets, Executive Orders, and projects; assure proper format, accuracy, and completeness.
-Assist the Systemwide Senior Director and other unit members with coordination of projects, with and without the support of other team members.
-Assists with preparing memos and letters, generate forms needed to begin human resource actions.
-Creates and administers systemwide surveys and analyzes results.
-Responds to a variety of campus and department staff inquiries.
-Develops and maintains hearing-related SharePoint Site content/user access.
-Executes unit's record retention schedule.
-Opens and maintains confidential and other office files, both hard and electronic.
-Maintains calendars and case management forms.
-Interprets and applies hearing-related provisions of CSU Nondiscrimination policy as needed.
-Schedules and communicates with participants to schedule hearings.
-Evaluates and refines hearing processes and practices to enhance effectiveness and participant experience including creating post-hearing surveys and evaluative tools for Hearing Officers and Hearing Advisors, analyzing their results, and prepares and presents related reports.
-Supports the administrative needs of the Civil Rights department to include coordination of projects, and preparing and maintaining detailed notes from meetings, agendas, reports and presentations; payment of invoices from outside counsel and external vendors; answering phone calls to include general questions and/or directing calls to the appropriate Civil Rights team member; and assists as a backup with opening and distributing mail, and ordering office supplies.
-This position will have access to confidential information on management/union negotiations or relations based on internal discussions pertaining to bargaining proposals and strategies and assists management positions with respect to meeting and conferring. This includes taking meeting notes where sensitive case information is discussed, reviewing each case and detailed information such as investigator reports and decision and tracking deadlines as needed. This position may also be asked to assist to prepare summaries, and follow-up on action items from such discussions as needed.
-Drafts and assists formal communication with the campuses through conference calls, listserv announcements, and other means to include creating and maintaining internal office lists, systemwide listservs, unit related websites.
-Assists as a back-up with making travel and other arrangements, and processing reimbursements. Performs special projects as assigned.
Qualifications
This position requires:
-A minimum of 3 years progressively responsible administrative support experience is required, within Title IX, compliance, or a related area. Experience coordinating or facilitating conduct, Title IX, or disciplinary proceedings/hearings or similar resolution processes or proceedings is required.
-Experience working within the California State University (CSU) system or the CSU Chancellor’s Office is required.
-Bachelor’s degree or equivalent combination of education and experience is required.
-Ability to handle sensitive and confidential information with discretion.
-Thorough knowledge of the functions and structure of a higher education office environment; excellent written, verbal, and non-verbal skills.
-Confident, articulate, and professional speaking abilities.
-Excellent proofreading skills.
-Ability to coordinate, multitask and independently set priorities when there are conflicts.
