Job Summary:

Under the general supervision of the Vice Provost of Academic Affairs, this position supports academic scheduling and curriculum operations through specialized administrative and analytical work, with primary responsibility for managing the CSU Academic Planning Database (APDB) reporting and submission process each academic term. The role serves as the primary administrator for the Event Management System (EMS), ensures data accuracy and compliance across EMS, PeopleSoft, and systemwide reporting requirements, and leads high-stakes scheduling and reporting activities. In addition, the position provides consultative support to academic units, coordinates classroom and event scheduling, supports curriculum and General Education updates, and exercises independent judgment to resolve complex issues and ensure efficient, accurate, and compliant academic operations.

Responsibilities:

Academic Scheduling & Curriculum Coordination:
Applies established scheduling policies, system guidelines, and institutional criteria to support academic scheduling and curriculum operations by reviewing and comparing scheduling data in the Event Management System (EMS) and PeopleSoft against documented procedures to confirm accuracy, completeness, and consistency with defined requirements.

Evaluates classroom assignment requests and event submissions using established scheduling parameters, identifies conflicts or discrepancies, and applies predefined options to suggest resolutions within approved guidelines. When conflicts arise, presents alternatives for consideration and refers matters involving policy interpretation or exceptions to the Academic Scheduling Lead or supervisor.

Reviews course and schedule‑related data, including High Impact Practices, dual enrollment indicators, and other required attributes, by applying established validation criteria to confirm entries meet institutional and Chancellor’s Office reporting standards; notes irregularities and coordinates routine corrective updates within defined procedures, elevating policy‑sensitive issues to the appropriate lead.

Supports semester and annual scheduling cycles by organizing assigned workflow, prioritizing tasks within established timelines, and monitoring progress to help ensure deadlines are met. Notes recurring data issues or procedural bottlenecks for supervisory review in support of operational efficiencies.

Provides guidance to academic departments on documented scheduling procedures and system use, explaining established requirements to ensure accurate submissions.

Data Management and Reporting:
Performs reviews of academic data in preparation for CSU Academic Planning Database (APDB) submissions by applying established reporting criteria and validation rules to check data integrity, identify routine inconsistencies, and assist in preparing corrective actions within defined procedures prior to submission.

Conducts structured data reconciliation by comparing multiple data sources using documented workflows, verifying alignment with reporting standards, and resolving discrepancies when the resolution falls within established parameters. Unresolved, complex, or policy sensitive issues are escalated to the appropriate lead or supervisor for determination.

Maintains and updates Instructor/Advisor and Instructor Term Workload tables by following established guidelines and reviewing submissions for accuracy and completeness. Communicates identified discrepancies to campus partners and coordinates corrections.

Supports curriculum and scheduling processes by reviewing course and curriculum data updates in PeopleSoft and in CourseLeaf’s Curriculum Inventory Management System (CIM). Monitors workflow status to confirm that assigned items meet established timelines and identifies issues needing clarification or escalation without making determinations outside procedural guidance.

Prepares summary information and status updates to support campus reporting needs. Exercises judgment to organize and present data findings within established formats and procedures, referring decisions requiring higher level analysis or interpretation to the supervisor.

Administrative and Operational Support
Provides administrative support to ensure effective daily operations of the office by following established procedures to maintain records, track work orders, and monitor workflow processes. Reviews operational data to identify incomplete or inconsistent information and conducts follow-up. Implements office procedures and suggests adjustments based on observed workflow patterns, and refers substantive and procedural changes to the supervisor for review and direction.

Minimum Qualifications:

Bachelor's degree AND/OR the equivalent training and administrative work experience involving study, analysis, and/or evaluation leading to the development or improvement of administrative policies, procedures, practices, or programs.

Required Qualifications:

-Working knowledge of general practices, program, and/or administrative specialty. Basic knowledge of and ability to apply fundamental concepts. Working knowledge of budget policies and procedures.
-Ability to learn, interpret, and apply a wide variety of policies and procedures relating to and impacting the applicable program, organizational unit, and/or administrative specialty.
-Knowledge of basic methods and procedures for research and statistical analysis and the ability to apply them.
-Ability to analyze data and make accurate projections using business mathematics and basic statistical techniques.
-Ability to organize and plan work and projects including handling multiple priorities.
-Ability to make independent decisions and exercise sound judgment.
-Ability to compile, write, and present reports related to program or administrative specialty.
-Demonstrated ability to establish and maintain effective working relationships within and outside the work group and serve as a liaison for the organizational unit.

Preferred Qualifications:

-Thorough knowledge of policies, procedures, and external regulations related to academic scheduling, curriculum management, and workload reporting.
-Ability to take initiative and independently plan, organize, coordinate, and perform work in situations involving numerous and diverse demands.
-Skill in researching, developing, and evaluating administrative processes and programs, including the ability to collect, analyze, and interpret data to develop sound conclusions and make appropriate recommendations.
-Demonstrated ability to investigate and analyze problems with broad administrative impact and implications, and to develop effective solutions.
-Ability to anticipate issues and address them proactively to ensure compliance and operational efficiency.
-Strong ability to interpret, organize, and present information and ideas clearly and effectively in written, oral, and presentation formats.
-Ability to train others on new systems, policies, and procedures and provide lead work direction when required.

Compensation and Benefits:

The salary offered will take into account internal equity and experience among other factors.

Initial salary step placement will be Step 1 - $4,799 per month for qualified candidates.

CSU Classification Salary Step Range: $5,274 - $7,684 per month (Step 1 – Step 20). 

The CSU system provides a comprehensive benefit package that includes medical, dental and vision plans, membership in the California Public Employees Retirement System (CalPERS), sick and vacation time, and 15 paid holidays a year. Position Information:

Work status: Full-time/Non-Exempt/Probationary

Academic year schedule: Monday through Friday (8:00 am – 5:00 pm), some evenings/weekends.

Summer schedule: Monday through Thursday (7:00 am - 5:30 pm), some evenings/weekends.
